Location Information
Some of our services access and collect location information. This includes our mobile applications for workforce and fleet management, which collect precise location (GPS) information from a worker’s mobile device, and our platform’s support for GPS tracking hardware installed in company vehicles. Because location is sensitive information, we describe these practices in detail here.
These services are provided to businesses for use with their own workforce. Where a business (the “employer”) issues an account to a worker, that employer determines whether location tracking is turned on and how the resulting information is used; we collect and process the information on the employer’s behalf and in accordance with our agreement with that employer. Location tracking is turned off by default and must be affirmatively enabled by the employe
What location information we collect
From a worker’s mobile device, when location tracking is enabled and the worker has granted location permission, we collect:
From GPS tracking hardware installed in a company’s vehicles, where an employer has enabled vehicle tracking, we receive precise geographic coordinates, speed and direction of travel, the vehicle’s ignition status, the identifier of the tracking device, and, where the employer has recorded one, the worker assigned to that vehicle at the time.
From the location information we collect, we may derive additional records such as arrival and departure times at a job site, distance traveled and mileage totals, and the street address corresponding to a set of coordinates.
Separately, we collect approximate, non-precise location inferred from the IP address of visitors to our website. If you upload images to our website, please note that images can contain embedded location data (EXIF GPS); you should remove that data before uploading if you do not wish to share it.
Why we collect location information
Location information from these applications and from connected vehicle devices is used only for the following business purposes:
Recording work time. To record clock-in and clock-out events, including automatically clocking a worker in or out when their device enters or leaves a job site boundary defined by their employer.
Verifying time and attendance records. To confirm that recorded hours correspond to time spent at an assigned job site, and to resolve timekeeping and payroll disputes.
Job and dispatch management. To associate work performed with the correct job, task, or customer visit, to assign and route work, and to provide arrival and status information.
Mileage and travel reporting. To calculate distance traveled for expense, reimbursement, and billing purposes.
Safety, asset protection, and service reliability. To locate company vehicles and equipment, to alert employers when a tracking device stops reporting, and to diagnose and troubleshoot the service.
We do not sell location information, use it for advertising or marketing, use it to build advertising profiles, or share it with data brokers.
When we collect location information, including in the background
These applications collect location information periodically (by default approximately once per minute, configurable by the employer) and continue to do so while the application is closed or not in active use, so that a continuous record of a work shift can be produced. This background collection is limited as follows:
GPS hardware installed in a company vehicle reports independently of our mobile applications, while the device is powered, according to the configuration set by the employer that installed it.
Who we share location information with
The employer that administers the account. Authorized administrators, managers, and dispatchers of the business that issued the account can view worker and vehicle location, job-site arrival and departure records, and location history through the platform.
Service providers acting on our behalf. Cloud hosting and infrastructure providers that store and process the data; and mapping and geocoding providers, to which we send coordinates in order to display maps and to convert coordinates into street addresses. These providers are permitted to use the information only to perform services for us.
When required by law. We may disclose location information where we are legally required to do so, to comply with a subpoena or lawful request, or to protect the rights, property, or safety of any person.
In a business transfer. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
We do not otherwise sell, trade, or transfer location information to outside parties for their own purposes.
How long we keep location information
Individual location readings are automatically deleted after a retention period set by the employer that administers the account. The default retention period is 90 days, and an employer may choose a shorter period. Records derived from location information, such as time entries, job records, and mileage totals, are retained for as long as the employer’s account is active and as required for payroll, tax, and recordkeeping purposes.
Your choices and controls
Permission. Location permission is requested before any location information is collected, and you may decline it. You can revoke location permission at any time in your device’s operating system settings. If you decline or revoke permission, the application will continue to work, but you will need to clock in and out manually, and location-dependent features such as automatic clock-in, job-site verification, and mileage tracking will not be available.
Access and deletion. Workers can view their own location history and request deletion of their own location data within the application. You may also contact us using the details at the end of this policy to request access to, correction of, or deletion of your location information. Where the information was collected on an employer’s behalf, we may direct your request to that employer or fulfill it in coordination with them.
Employer controls. An employer can disable location tracking for its entire account at any time, which stops all collection of location information from our mobile applications.
